What personal data does Botany Bay Cricket Club (BBCC) collect?
The data we collect includes members’ names, addresses, email addresses and dates of birth, along with contact details for next of kin in case of emergency. We collect this data directly from our members. For some of our members we may have additional information such as any health issues that are relevant to playing cricket, Board and sub-committee memberships and, occasionally, DBS checks done with your knowledge and permission.
What is this personal data used for?
We use members’ data for the administration of your membership; the communication of information and the organisation of matches and other events.
Who is your data shared with?
Some of your data will be available for use by carefully selected partners and sponsors of BBCC. They are not free to pass this on to other organisations. Your personal data is not provided by us for use by any other organisations.
Where does this data come from?
Data for all of our members comes from their membership forms at the time they joined, with their updates.
How is your data stored?
Most of our data, including our main membership database, is stored in digital form online.
Who is responsible for ensuring compliance with relevant laws and regulations?
Under the GDPR (General Data Protection Regulation) we do not have a statutory requirement to have a Data Protection Officer. The Management Committee is responsible for ensuring that BCC discharges its obligations under the GDPR and is responsible for maintaining a log of data breaches and notifying the ICO and any members affected as necessary, in accordance with our legal obligations.
Who has access to your data?
Members of the BBCC Management Committee have access to members’ data in order for them to carry out their legitimate tasks for BBCC, such as responding to enquiries from those members. Members of the Management Committee and its sub-committees will be given access to this data for any legitimate purpose to do with their roles as officers of the organisations or members of their committees, but will not be free to pass it on to any other organisation.
What is the legal basis for collecting this data?
BBCC collects personal data that is necessary for the purposes of its legitimate interests as a membership organisation and as the authority of an internationally recognised and regulated, competitive sport. Personnel data is kept in compliance with our legal obligations.
How you can check what data we have about you?

Does BBCC collect any “special” data?
The GDPR refers to sensitive personal data as “special categories of personal data”. BBCC does not collect any such data.
How can you ask for data to be removed, limited or corrected?
Please contact botanybaycc.committee@gmail.com to make any updates to your data, or if you want it removed. Clearly if it is removed, you will no longer receive any communications from BCC.
How long we keep your data for, and why?
We normally keep members’ data after they resign or their membership lapses. This is because we find members sometimes later wish to re-join (occasionally after several decades). However, we will delete any former member’s contact details entirely on request.
What happens if a member dies?
We normally keep members’ information after they die. If requested by their next-of-kin to delete it we will do so on the same basis as when requested to remove data by a former member.
All emails sent by the system contain a tracking pixel. This is used to track whether each email has been opened by the recipient, and when. This information can be viewed by those users of the system with permission to view email delivery reports. We do not display any information regarding the location of the recipient. Note that the tracking pixel is only activated if the recipient chooses to download images into their email client.
We, Botany Bay Cricket Club, make use of the myClubhouse software supplied by Simmetrics Ltd to process personal data we include on our myClubhouse website in accordance with our privacy policy set out above.
